Payroll pricing is notorious for extras. Ours is simple: a rate per employee per month by product and tier, minimums so smaller payrolls stay properly served, and the essentials always included. Here is how it works, in public.

For organisations up to 250 employees who want certainty, our named packages bundle a tier with the most bought services at a fixed monthly price, roughly 11 percent below the menu, on annual billing and a 36 month term.

What actually drives your price.

Headcount band

Unit rates step down automatically as you grow past each band edge. You never have to renegotiate to get scale pricing.

Pay frequency

Monthly is the base rate. Weekly runs price at 2.2 times, fortnightly at 1.6, four weekly at 1.1, because more runs mean more work.

Tier and services

Pick the service depth you want and attach only the extras you will use. Nothing included in your tier is ever charged twice.

Term and billing

36 months is standard; 12 months is available at 8 percent higher rates. Annual payment in advance earns a 5 percent discount. Indexation is CPI plus 1, each April, in the contract.

Getting started

Implementation that de-risks the switch.

Managed

Twice your average monthly fee, from £2,500. Two parallel runs are included in every implementation, and half the fee is credited back on 36 month terms.

Platform

From £2,500 depending on size and history load, guided end to end by our implementation team.

International

From £1,250 per country by tier, with year end per country priced flat and multi country deals blended by the deal desk.

Fair play, in writing

Policies we put in the contract.

  • The quote is the invoice. Payments, filings and GL export never appear as extras.
  • Automatic volume breaks. Cross a band boundary and the lower rate applies, no conversation needed.
  • No hostage clauses. Exit assistance is a capped fixed fee agreed at signature, so leaving is priced before you join.
  • A fair data deal. Late or messy data is free twice, then rekeying bills at £95 an hour. Good clients never subsidise chaos.

Reporting, priced honestly

Three core reports are free with every managed run: gross to net, payments summary and period on period variance.

  • Standard Reporting Pack: £0.30 per employee per month, minimum £95. Included from Managed Plus.
  • Payoa Insight analytics: £0.75 per employee per month, minimum £195. Included in Managed Complete.
  • Bespoke report builds from £395.
Pricing questions

Why do minimum monthly fees apply?+
Because a 40 person entity takes nearly as much care as a 140 person one. Minimums, from £850 a month on Managed, keep every payroll viable to serve properly, including multi entity groups with small entities.
Can we see the full rate card?+
Yes. Book a call and we will price your exact configuration live during the conversation, band by band, and leave the illustration with you whatever you decide. We would rather show working than hide numbers.
Do prices change mid term?+
Prices index once a year at CPI plus 1 percent, applied each April and written into the contract, so there are no surprise repricing letters. Volume breaks work in your favour automatically as you grow.
What does switching actually cost us in time?+
Your side of a managed implementation is mostly data provision and approvals: a scoping pack up front, source data for the build, and sign off on two parallel runs. Most clients spend a few hours a week for four to eight weeks, and we do the heavy lifting.
